The pilot program for the Risk Management Review process is well underway with Group A agencies beginning their Kickoff Meetings and Group B agencies gearing up for Kickoff Discussions. Group A agencies also are trialing seven online forms using the In2vate software platform. In addition to those forms, there are 18 updated paper forms, which will be available online through In2vate by the time the Risk Management Review process launces in 2021. 

One of the first agencies to test the online forms was the Park District of Highland Park. Megan Lebak, CPRP, Human Resources and Safety Manager as well as her agency’s Safety Coordinator, was part of the test. “I was hoping the In2vate system would be easy to use, intuitive and streamlined,” she says. “After seeing it and walking through it, I was happy with the results; it seems very easy to navigate.”

Lebak especially liked being able to track the forms. “I was impressed with the ability to assign forms directly to a person and view the progress. This will be good for tracking and follow-up purposes.”

As with any change, there will be questions and tweaks to the new system, but Lebak anticipates a positive impact. “With it being electronic, staff will find it easier to complete assigned tasks — and complete them quicker,” she adds.

PDRMA anticipates having an In2vate handbook available for Pilot Group A by early July, and Lebak thinks it’s the right way to go. “Having the handbook as a reference will provide us with easy access to answers instead of overwhelming Risk Management Consultants with questions.”

As the pilot program continues, here is a timeline of the benchmarks:

  • June/July — Schedule Kickoff Meetings for Pilot Group A conducted.
  • June – August — Send prepopulated Kickoff Forms to Pilot Group B.
  • June – September — Hold Kickoff Discussions with Pilot Group B to identify targeted goals and plans of action.
  • June – Nov. 15 — Conduct on-site member field visits and activities for Groups A and B.
  • Sept. 5 — PDRMA Loss Control Review Sub-committee Meeting. Review progress of 2019 Pilot and discuss next steps.
  • Oct. 18 — PDRMA Risk Management Committee meeting. Review progress of 2019 Pilot and discuss next steps.
  • October – Dec. 1 — Conclude member Check-in Meetings.
